Women in Business Seminar

An in-person seminar turned into a successful live networking event at the Park Plaza Royal Sonesta Hotel. The event space provided the ideal backdrop for 100 women in business to learn strategic social media tools to boost their businesses. Attendees were socially distanced in the room, making guests feel at ease and allowing business to carry on.

Objective

Park Plaza Royal Sonesta Hotel to teach women how to use social media for their business.  Provide a comfortable ambiance for up to 100 attendees while ensuring room set up followed physical distancing guidelines.

Alignment

Classroom set up integrated the MeetSAFE™ Guidelines to address physical distancing concerns.​ Accommodate safety requirements such as configured seating for distancing, masked tech.

Outcome

Attendees felt safe and welcomed knowing that social distance guidelines were followed, and they could focus on the topic presented.​ More people attended than what was expected resulting in a successful live networking event

A small in-person gathering in a huddle room, boardroom, or similar collaboration pod with remote participants. A single webcam (including one built-in to a personal laptop) could provide capture coverage for a small group.

An in-person conference in a small meeting room with remote participants. The room can be set in a U or traditional conference table configuration.

An in-person gathering in a traditional meeting room or similar with remote participants. The room can be set in a classroom style, rounds or designed to meet your specific event needs. Remote attendees can join on their own from an office or as a group from another meeting room.

*Hybrid: All three meeting designs can incorporate a virtual stream for attendees and presenters that are not able to make the in-person meeting.

Room Layout

With the meeting design in mind, room layouts may look different. Incorporating physical distancing and traffic flow will reduce risk and promote health within the meeting environment.

Tables and chairs may be spaced to meet best practices and floor decals, and other forms of signage may inform attendees on the best way to move through the space to limit contact.

Technology equipment will be sized according to the new space with the addition of virtual components as necessary.

Cleaning Guidelines

As the event space changes, it will be more important than ever to create a space that continues to promote collaboration and engagement and while focusing heavily on hygiene.

Encore is educating our team members on enhanced cleaning procedures. We are doing this to help stop the spread of germs as we strive to build upon our commitment to safety.

Tent cards will indicate when equipment has been cleaned, with particular attention to high-touch items such as microphones, keyboards, wireless presenters and markers.

Florida Optometric Association Conference

An annual medical association meeting was held as an in-person meeting with MeetSAFE™ guidelines observed. This meant appropriate social distancing and other guidelines to minimize risks to the Florida hotel and meeting guests. MeetSAFE™ allowed the Production crew to plan the 200-person General Session effectively by creating a wider stage set.

Objective

We worked with the Florida Optometry Association to help execute their annual members meeting. They had already delayed this event from earlier in the summer, but felt it was too important to delay any further. We worked with the hotel and customer to develop a set that provided safe distancing precautions so that their members would feel comfortable attending this event in person.  

Alignment

The customer used one room for the GS and a couple other rooms for smaller breakouts. Fitting 200 people in the General Session room was a tight fit, but we were able to work with the hotel to create a distanced set. To provide extra space for table / seat distancing, we had to downgrade the size of our screens and position them in the corners. This still provided attendees with a great view of both the PowerPoint content and panelists / presenters.

Outcome

Cutting-edge exhibit design gets the conversation started. Client was pleased with the outcome. They were afraid that attendance would be limited, but they ended up nearing full capacity with their turnout. This event reassured our customer that we can hold safe and effective meetings and provided them confidence for future event execution and planning.

Objectives

For the 13th year running, we supported BBC Studios Showcase 2019, the world’s largest international television market hosted by a single distributor. The event brought together producers, talent, BBC executives and Britain’s most successful creatives.

Previously known as BBC Worldwide Showcase, the 2019 event marked a new chapter for Showcase, the first year under the Studios banner. A celebration of British creativity, the exclusive events previewed some of the BBC’s exciting new programs, including Top Gear, The Planets, and One Planet: Seven Worlds. Led by the BBC Studios team, our Group Creative Director Peter Harding helped produce and deliver a spectacular production design for the two awe-inspiring evenings.

Showcase Gala Dinner

Putting premium British content right at the center of the global stage, night one saw the M&S Bank Arena transformed into a glamourous gala dinner. With top BBC talent, including Brian Cox and Sir David Attenborough taking to the stage, our team delivered an impressive set.

Ensuring the beautiful BBC content was showcased in all its glory, the team surrounded the dining space with 12 large LED screens, and  A striking LED strip chandelier,  to form the perfect dramatic centerpiece. 

To round off an evening of exceptional entertainment, guests partied the night away in a secret space revealed after dinner. Our team  created the perfect party atmosphere while our GLUX LED panels created a vibrant stage background. 

One Planet: Seven Worlds

Night Two brought to life the BBC’s latest natural history offering, One Planet: Seven Worlds, with guests treated to a VIP dining experience. With just twelve hours to transform the arena, the team utilized the LED from the previous night to create seven 6-meter-high portrait screens hung in the center of the dining space.

Flown using Kinesys, the panels moved independently, rising to reveal an in-the-round stage that played host to legendary composer Hans Zimmer. If that wasn’t enough, guests caught an exclusive first look at the new natural history programs, accompanied by a rousing performance from a live orchestra.

Meetings and Conferences 

Keynote Presentation, Event Design, Staging Design 

Objectives

Collaborating with the Timewise and One West Event Design teamsFMAV by Encore was tasked with creating an immersive experience that would welcome and accommodate highcaliber presenters and keynotes. The space needed to be welcoming to audience members and arranged in a way that encouraged networking and conversation.

Solutions

Designing the Main Room 

The team met in the Edmonton office to align and frame an event narrative that reflected the value that it represents to the event’s various stakeholders.  

To achieve this narrative, we applied several design strategies in the main room. Firstlywe manipulated the shape to break the standard rectangular box of an event spaceTurned 45°, the layout created a triangular shape with video screens and impactful draping. The shape served two purposes. Firstto provide an emphasis on the main stage as the focal point. And secondly, to envelope the audience as if the screens and drape were embracing them in a metaphorical way. 

To reinvent the stage experience and complement the angle of the room, FMAV designed a diamondshaped stage that kept the audience close to the action on stage while keeping the stage height above 36” in order to give the presenters an air of rock stardom. 

Using an FMAV stage solution, we designed a maple leaf as a nod to our proud Canadian heritage. OneWest Event Design provided mixed seating arrangements strategically placed to encourage attendee interaction with one another. The seating provided the perfect layout to connect with content and conversation outside of the onstage presentations as well. 

To add to the sense of audience intimacy, FMAV designed a rigging plot with truss lines raking down towards the back of the room. This created lower ceiling bringing an intimate mood to the audience area while keeping the main stage theatrical. To accentuate the rake of the truss, tiered seating was installed at the back of the room, allowing attendees to get a higher sightline, creating a unique experience from that vantage point. 

Some small subtle technology choices were made to enable and enhance the attendee’s connection to the presenters. For example, a robotic camera was positioned at the back corner of the stage near the presenter’s entry point. It allowed for a reverse angle shot capturing the presenters entering and exiting from the stage. This shot choice in essence ‘broke the 4th wall’ showing the audience a part of the backstage experience of which most attendees are very familiar. It both humanized and energized the arrival and departure of each presenter. 

 The IMAG screens were portrait orientated to allow for a full body shot making the presenter 16’ high, enhancing the gravitas and feeding that ‘rock star’ aesthetic. 

Results

All of this came together to achieve the event narrative with great effect. Allowing TimewiseFMAV, and OneWest Event Design to contribute in our unique ways creates community, fosters innovation and shows our mutual pride of Western Canada.

Gala Dinner for Luxury Brand 

Objectives

DIOR held its annual kickoff event at the Grand Hotel Heiligendamm. The three-day event included full production services for breakout sessions, a gala dinner and fashion show with the theme, “Joyful Glam”.

Solutions

For the second year in a row, we helped DIOR Germany hold its annual kick-off meeting at the Grand Hotel Heiligendamm. The spa area was transformed into a branded event pavilion with catwalk staged directly above the pool, branded areas for fragrance and beauty lines, as well as elegant dinner seating. Other services included breakout rooms for training sessions, special event lighting, and creative branding to tie all event areas together in a beautiful way.
